Supporter Privacy Notice

This notice explains how we collect, hold, and process data about you, if you support, fundraise for or donate to the Charity.

Arthur Rank Hospice Charity has a long history in Cambridgeshire. We have cared for thousands of patients and provided much needed support to their families since we formed in 1981. The proportion of funding which needs to be raised by the community has fluctuated over this time, as we have witnessed increasing demands on our services. Whilst we have a good relationship with the NHS, and we receive a good level of financial support from the NHS, we often find that we are required to bridge gaps in healthcare provision, left by other providers withdrawing services that our patients may previously have benefited from and due to our ongoing determination to meet the needs of our patients and their families.

Our care is built on close relationships and we believe our fundraising is no different. We have thousands of long-standing supporters who have chosen to offer their support in a host of ways and we are delighted to welcome more supporters to the Charity every day. We do not purchase data; and we do not employ any external companies to cleanse our data; or we would not sell your data to – or through – any third parties. Most importantly, we store your data securely.

Every contact you make with the Arthur Rank Hospice Charity team allows us to learn a little more about you. By being a supporter of Arthur Rank Hospice Charity, you are helping us to make every moment count for our patients and their families.

Listening to and learning about our supporters is vital, fundraising has to evolve: nothing stands still, and we have always prided ourselves on being innovative and forward thinking. We hope that our supporters perceive these strengths when they choose to support the Hospice.

We have given much thought to our Privacy Policy and we would really appreciate if you could take a few moments to understand how we manage the personal information you share with us and alongside this how we protect your privacy.

What information do we collect about you?

We collect:

Your title, name, gender and date of birth, contact details and preferences

Family and spouse/partner details, relationships to other supporters.

Details of next of kin information, if you are taking part in an event or a challenge.

Card details/payment details

Your professional activities and employer details.

Gift aid status and records of donations and purchases.

Media articles about you or organisations associated with you.

Record of communications.

Where appropriate we may also ask your interests and motivation for supporting Arthur Rank Hospice Charity: we will never make this question mandatory and only want to know the answer if you are comfortable providing us with that information.

Entry/booking forms for events, activities or challenges

Forms submitted via our website

Information from fundraising third parties and partners

We use your information to: 

Maintain your supporter record

Creation of a free will

Creation of a regular donation, such as a direct debit or standing order

To process payments or donations (card information is deleted automatically after processing)

To keep you informed of our work, the latest news and to ask for donations or other fundraising support in accordance with your contact preferences

To conduct research to support our activities

Under the GDPR and the DPA, we must have a legal reason to collect, keep and use your data. We rely on the following legal basis for processing your data:

We process your personal data for our legitimate interests to allow us to run as a charitable entity effectively and in pursuit of our objectives. When we process your personal information for our legitimate interests, we make sure to consider and balance any potential impact on you and your rights under data protection laws. We will always ensure that your personal data will not be used where our interests are overridden by the impact on you.

Where we reply on consent as our lawful basis, you have the right to withdraw consent at any time, however this may have an adverse effect providing services.

Unless required for statutory obligations, we will never share or sell your personal information with third parties for their own purposes. However, we do use trusted suppliers to help us deliver the best service in certain areas of our work.

These third parties may include: designers, print and fulfilment partners, challenge organisations, email campaign or direct mail/appeal providers.

Platforms used within our website, who hold registration data

Law enforcement bodies and/or regulatory entities, to comply with any legal obligation or court order

We may also have to share your donation information with HMRC in order, for example, to process Gift Aid.

We adopt appropriate data collection, storage, and processing practices, including the use of multifactor authentication for remote access, to safeguard your personal and transactional data from unauthorised access, alteration, disclosure, or destruction on our website and systems.

We have security procedures, rules and technical measures in place to protect your data. Your data will be kept in a secure environment with access restricted on a need-to-know basis.

On occasions we use suppliers or third parties outside of the European Economic Area, We will ensure there are Standard Contractual Clauses (SCCs) in place which are standardised clauses, approved by the European Commission, that allow the transfers of data outside the European Economic Area (EEA).

We will keep your information for as long as required to enable us to operate our services, but we will not keep your information for any longer than is necessary. We will take into consideration our legal obligations, tax and accounting rules when determining how long we should retain your information. When we no longer need to retain your information, we will ensure it is securely disposed of, in line with our Data Retention Schedule.
